Membership

The Membership feature must be enabled by imATHLETE. Contact us if you'd like to set this up for your company!

Membership is a type of registration option designed specifically for club-like memberships. The general idea is that you set up your membership options, determine when those memberships expire, and configure when you'd like us to alert members about renewals. We'll take care of the hard stuff like managing membership data and reminding members to renew their memberships.

Membership Setup

Setting up a membership looks similar to setting up an event, but the process (and outcome) are a little different.

To get started, just log in to your dashboard and click the Create an Event link on the left sidebar. From there, name your membership and check the box next to "This is a Club/Membership." We'll guide you through the rest of the process.

Membership Options

You'll set up your membership options in the Classes + Categories section the same as you would set up your registration options for a race. This is where you'll set up the membership length, determine whether it's an individual, group/family, or team membership.

Memberships expire at 11:59 PM in the time zone set up in your Company Info.

You can set up the price of each membership option on the Price Levels tab.

Renewal notifications

Use the Notifications link on the left sidebar of Event Setup to specify when you'd like members to be alerted that a membership is about to expire or has expired.

Membership Data

Member information is available to you via Participant Details as well as Membership-specific reporting.

In Participant Details, you can now display two more columns (click here to learn how):

  • Expiration Date
  • Days Until Expiration

In Other Reports, you have two new reports:

  • Membership Renewals
  • Memberships Expiring Within 7 Days
  • Memberships Expiring Within 30 Days
  • Expired Memberships

Membership Changes

Members are not able to defer, transfer or change their membership once they've checked out. If a member would like to change to a different membership, they will need to cancel the existing membership and sign up for a new one.

I created my Membership option, now how do I find it?

From your dashboard, click the Event Year drop down list and select Memberships. Like so:
