Using the Mailchimp Integration

People are going bananas over the fact that imATHLETE now integrates with Mailchimp, allowing you to seamlessly share your selected participant data with the automated marketing tool at the event or class level. 

What does this mean? This means you can supercharge your event communications with the full might of Mailchimp! Reach out to all participants in an event, or provide tailored messaging to those in selected classes (i.e. 5k, 10k, Half Marathon). Set up automations and welcome emails. You'll have some seriously awesome control over your communication, making for some tree-swinging fun (OK, we’ll stop now). 

The Mailchimp integration is a direct pipeline between imATHLETE and Mailchimp. Every time a new registration occurs, the participant data will be automatically added to your Mailchimp list as directed!

If you aren’t already a Mailchimp user, you can get a free account to try (up to 2000 contacts). It’s not an endorsement and we aren’t compensated for suggesting it. This is just one of many integrations, with more added all the time.

Make sure you have your Mailchimp login handy, and let’s GO! 

1.  Connect imATHLETE to your Mailchimp Account

Login to your RD Dashboard on imATHLETE. In the left navigation, you’ll see the new Integration option. 

Click Integrations


Clock on the Mailchimp option.

Click Connect, where you’ll be taken to a login screen. Enter your Mailchimp username and password. Once successfully authenticated, the popup window will disappear (if not, simply close it). 

The Mailchimp box on the Integrations > Email Managers page will now show the connected account(s). Multiple Mailchimp accounts can be linked. Each is automatically identified by the imATHLETE account user’s name.

2.  Select Events/Classes to Share to Mailchimp

Click Manage to begin. 

You may want to use Mailchimp to communicate to all participants in an event, or to participants in particular classes. 

Select an event from the dropdown menu and clickMAP. If you would like to narrow down the list to those in particular classes, click the Class radio button and select one or more. 

Next, choose the Mailchimp list you’d like to use. You may want to create new lists on Mailchimp. 


3.  Map imATHLETE fields to Mailchimp fields

The default fields on Mailchimp will yield something like this for mapping:


Wait, what? That’s all? No! Fear not! All we need to is add some additional fields on the Mailchimp side - some new “buckets” into which to put all of that glorious imATHLETE data*. Here’s the how-to from Mailchimp on adding fields

From Mailchimp you’ll chooseLists>>Select a list>> Settings>>List Fields and *|MERGE|* Tags. At the bottom you’ll see an option toAdd a Field

Add the fields that you’d like to be able to utilize on Mailchimp:


IMPORTANT NOTE: in your new fields, edit the column titled Put this tag in your content:  It defaults to a generic *|MERGE5|* which will be difficult to identify in your mappings. Change this to something more recognizable like this:


Now let’s go back to the Mapping screen on the imATHLETE Integrations page. With the new fields added, you’ll see this:


Now select the imATHLETE fields that correspond to the Mailchimp fields. Click Save. Your information will soon be on its way to your Mailchimp list. You’ll see a confirmation of successful mapping, but note it can take up to an hour to see the data in your Mailchimp lists. 


These mappings will be stored and can be edited at any time.

Will new participants automatically be added to my Mailchimp list?

Yes! It eliminates the need to export and import. 

Will all my participants for a mapped event be added to the Mailchimp list? 

If you’ve just launched your event, you can expect to see all of the participant data in Mailchimp after mapping. For events launched prior to February 22, 2019, you’ll want to do an initial export of participant data from imATHLETE and corresponding import into Mailchimp. We’ll take it from there! 

I enabled the Integration and did the mapping. Where is my data?

It can take up to an hour for data to appear in the Mailchimp lists. 

Will changes that are made to participant details or data added to imATHLETE participant data be forwarded to Mailchimp? 

Only the initial registration data is forwarded. 

How do I cease sending any data to Mailchimp?

From Integrations > Email Managers click Disconnect
